These Terms and Conditions ("Participants Terms") describe how Warriorrun.in, operated by Arkaaya Events and Experiences Private Limited ("we", "us", or "our"), provides a platform for organizing, managing or running a sports related event ("Event"), by a third party entity ("Organizer" or "Host"), and allows users ("Users," "Participant", "You," or "Your") to discover, register for, and participate in Events. Please read these Participants Terms carefully prior to creating an account, listing any Event, or registering for any Event on the Platform. By proceeding, you are deemed to have read, understood and consented to these Participants Terms and to processing of your personal data as described in the Privacy Policy.

1. Use of Personal Data

The collection and use of personal information in connection with your access to and use of the Platform is described in our Privacy Policy, which is incorporated by reference into these Participants Terms. You agree that the Platform and Organizers will process personal data in accordance with applicable data protection laws and the Privacy Policy.

2. Registration and Onboarding

a) Eligibility

To register and use the Platform as a Participant, you must be at least 18 (eighteen) years of age and have the legal capacity to enter into a binding contract under applicable law. By creating an account, you represent and warrant that you meet these requirements and any other eligibility criteria as may be stipulated on the Platform from time to time.

b) Registration Information

During registration, you may be required to provide information such as name, phone number, email address, Aadhaar or other ID details, blood group, emergency contact, T-shirt size, postal address and Event specific details as requested by the Organizer. You must provide a valid email address and mobile number that you access regularly. Any notice sent to the email address or mobile number provided during registration will be deemed to have been received by the Participant.

c) Category Selection

Participants must carefully select the appropriate Event category at the time of registration.

d) Registration of Minors

If you are completing a registration on behalf of a minor, you confirm that you are the parent or legal guardian and that the minor has your full consent to participate in the Event. The parent or legal guardian further agrees that all terms, conditions, rules, and obligations applicable to Participants shall apply to the minor as if he or she were a major, including the requirement of being medically fit to participate. We reserve the right to conduct additional checks/verification to ascertain whether you are legally authorized to give consent on behalf of a minor.

e) SMS Updates

We will be sending regular updates to the mobile number you have provided in the registration form. This should not be treated as spam and you shall not take any action against our bulk SMS service provider as it is in your best interest to receive these updates.

f) Event-Specific Terms

You are responsible for reviewing the Event-specific terms and the cancellation policy of the Organizer before completing your registration. You understand that Events are exclusively organized by the Organizers, and the Platform only provides a service to connect Organizers and Participants, except to the extent that any Events are organized by us directly.

g) Accurate Information

You must provide true, accurate, current and complete information, and keep such information updated. You are responsible for safeguarding your password and for all activities that occur under your account. You agree to notify us promptly of any unauthorized use of your account or any other breach of security.

3. Booking Confirmation

a) Confirmation Process

Once a registration/booking is successfully completed through the Platform, a confirmation may be sent to the Participant by email and/or SMS, and the booking details will be visible in the Participant's account, where applicable. Failure to receive a confirmation email will not, by itself, entitle the Participant to a chargeback or refund if the registration is successfully recorded on the Platform; the Participant should contact the Organizer or the Platform support as indicated on the Platform.

b) Email Whitelist

Users of email services that offer filtering/blocking of messages from unknown email addresses should add support@warriorrun.in and no-reply@warriorrun.in to their address list to avoid missing crucial confirmation and communication messages sent by the Event Organizer.

4. Payments, Cancellations and Refunds

a) Payment Terms

  • The Platform allows Organizers to accept registration fees, donations, and other Event-related amounts through third-party payment gateways/payment service providers, including (where enabled) Axis Bank and its associated payment processing partners ("Payment Gateway"). The Platform does not operate, own, or control the Payment Gateway and is not responsible for its uptime, security controls, or processing rules.
  • Registration/ticket pricing for each Event is set by the Organizer. Any Platform/service convenience fee (if applicable) will be shown during checkout and collected together with the Event fee via the Payment Gateway.
  • If you do not receive a confirmation email/SMS after successful payment, you must contact the Organizer using the contact details on the Event page to validate the registration. Not raising such a query within a reasonable time may be treated as a waiver of any claim based solely on non-receipt of confirmation.
  • By proceeding with a transaction, you authorize Axis Bank/the Payment Gateway to process your payment instructions. Bank/issuer charges, card/network rules, authentication steps (e.g., OTP/3DS), and any payment failures/returns are governed by your bank/issuer and the Payment Gateway's policies.

b) Refund Terms

  • All confirmed registrations are non-refundable, non-transferable, and cannot be modified, unless expressly permitted by the Organizer under specific Event terms.
  • If a participant seeks a refund, the request must be made directly to the Organizer, as the Platform does not determine or administer Organizer refund policies.
  • The Platform shall not be responsible for: refusal or non-processing of refunds by Organizers; the quantum of any refund; any errors, delays, or omissions by the Organizers in issuing refunds; and any chargebacks or disputes between Organizers and Participants.
  • Refund decisions are made by the Organizer and not by the Platform, except for Events organized by us directly.
  • No refunds shall be provided if the Participant fails to attend the Event or opts not to participate for personal reasons.

c) Cancellation and Event Change Terms

  • Tickets may be cancelled only if the Organizer has expressly permitted cancellations, typically up to 24 (twenty-four) hours before the start time or as specified by the Organizer.
  • If an Event is cancelled, postponed, suspended, or materially changed for any reason (including force majeure, adverse weather, safety concerns, or official restrictions): the Platform will not issue refunds; the Platform will not be liable for losses arising from such changes; and the Participant must rely solely on the Organizer's refund and cancellation policy.
  • Participants are solely responsible for verifying whether an Event has been cancelled or rescheduled. The Platform will make reasonable efforts to notify users upon receiving information from Organizers but does not guarantee notification before the Event date.
  • If registrations are rejected by the Organizer, any amount collected from rejected applications shall be refunded (excluding bank charges) unless otherwise stipulated.
  • If participant transfers or deferrals are enabled by the Organizer, any refund will only be processed after the transferee completes the transfer process and payment.

Annexure A

Axis Bank Payment Gateway — Terms & Conditions

This section applies only to transactions routed through Axis Bank's payment gateway (and/or its authorized processing partners) on the Platform. These terms supplement the payment provisions in the Participants Terms.

4. Authorization & Authentication

When you initiate a payment, you instruct Axis Bank/the gateway to process the transaction. Your bank/issuer or card network may require additional authentication (including OTP/3DS) and may decline a transaction for reasons outside the Platform's control.

5. Processing Role

Axis Bank/the gateway acts as a payment service provider facilitating movement of funds. The Platform's role is limited to enabling checkout and relaying payment status to record your registration.

6. Successful vs. Failed Payments

A registration is confirmed only when the Platform records a successful payment status. If the transaction fails, is reversed, or remains pending, no registration is guaranteed until confirmed on the Platform.

7. Duplicate / Erroneous Debits

In the event of an apparent duplicate debit or technical error, you should raise a ticket promptly with transaction reference details. Resolution timelines may depend on Axis Bank/the gateway and your bank/issuer's reconciliation process.

8. Charges, Taxes and Currency

Any bank/issuer charges (including convenience fees, forex markup, or taxes) are levied by your bank/issuer or as per network rules and are separate from Event/Platform fees displayed at checkout.

9. Refunds & Reversals

Where a refund is approved by the Organizer (or by us for Events organized by us), the refund is typically processed back to the original payment instrument through Axis Bank/the gateway and may take additional time to reflect as per bank/issuer timelines.

10. Chargebacks / Disputes

If you initiate a chargeback, the process will be governed by card/network rules and your bank/issuer's policies. You may be requested to provide supporting information to the Organizer and/or Platform to assess the dispute.

11. Security Responsibilities

You must ensure that your card/UPI/net-banking credentials and device are secure. The Platform does not request your PIN/OTP, and you should not share such information with any person.

12. Data Sharing

To process payments and prevent fraud, limited transaction and identity-related information may be shared with Axis Bank/the gateway and relevant banking/processing partners, subject to applicable law and the Privacy Policy.

13. Liability Limitations

To the maximum extent permitted by law, neither the Platform nor the Organizer will be responsible for delays, interruptions, or failures attributable to Axis Bank/the gateway, card networks, banks/issuers, or other third-party payment systems.

5. Entire Agreement

This Participants Terms, along with the Event specific terms (as applicable), constitutes the entire agreement between you and Warriorrun.in and governs your use of the Services, superseding any prior or contemporaneous agreements, proposals, discussions or communications between you and Warriorrun.in on the subject matter hereof.

6. Governing Law and Dispute Resolution

These Participants Terms shall be governed by and construed in accordance with the laws of India. Courts having jurisdiction in Mumbai, India shall have exclusive jurisdiction over disputes arising out of or in connection with these Participants Terms.

7. Notices and Grievances

Notices to you may be made via either email or speed post to the address in Warriorrun.in's records. Any notice from you to us shall be sent in writing to our mailing address:

8. Waiver; Invalid Provisions

The failure or delay of Platform to exercise or enforce any right or provision shall not constitute a waiver of such right or provision. No oral waiver, amendment or modification shall be effective under any circumstance whatsoever. If any provision of this Participants Terms is found by an arbitrator or court of competent jurisdiction to be invalid, the other provisions of this Participants Terms shall remain in full force and effect.
